Electronic Employee File Module

The Electronic Employee File module in the e-Service system is a modern and efficient replacement for traditional paper files. This module acts as a central and secure repository for all information and documents related to an employee from the beginning of their employment until the end. The goal of this module is to facilitate access to information, reduce paper usage, improve data security, and speed up processes related to employee management.

This module also allows managers and employees themselves, according to specified permissions, to easily access necessary information at any time and from any place.

Creating Electronic Files

Create a specific electronic file for each employee that contains all their information and documents.

Recording Personal & Professional Information

Record detailed personal information like name, address, contact number, and professional information like job title, hiring date, and work history.

Attaching Documents

Ability to attach all types of documents to the file, such as ID copies, certificates, employment contracts, evaluation forms, and official letters.

Classifying Documents

Organize and classify documents according to their type and related subject.

Searching and Finding Information

Provide advanced search tools for quick retrieval of information and documents within the files.

Version Management

Record the history of changes and amendments to documents, along with specifying the effective date of each new version.

Data Security

Protect information and documents using advanced security technology and define access levels for different users.

Linking to Other Modules

Link the employee's electronic file to other modules of the e-Service system, such as payroll, leave, and evaluation modules.
